An ideal time sheet

An ideal timesheet is one that can hide all the complex functionality and provide an elegant graphical user interface (GUI) for employees to enter their clocking details. The GUI should be such that even a layman with limited knowledge can figure out what needs to be entered, how and where.

The ideal timesheet should provide an organization with the ability to customize it according to their needs and requirements; however, at the same time, it does all the complex calculations itself and asks employees to fill in only the required fields. It should not only be able to incorporate all relevant county, state, and central laws from time to time, but also provide the employee with up-to-date clock-in/clock-out times after daylight saving time is taken into account.

A time sheet, which can be used by all employees who stay in different time zones and can greet employees while they clock in/out with a personalized message is amazing. employees can clock in/out while typing the reason for it; If there is something else to say while you punch OUT your superiors, the ideal time sheet provides the facility to email employees at the click of a button.

Organizations have employees who work different shifts, spanning different hours in a 24-hour period. Calculating these different shifts when they fall on two different dates, manually, is hell. But, the ideal time sheet can do that in a jiffy. It even provides the employee with a calendar to mark personalized holidays and implement the same throughout the organization spread over different time zones.

Calculating lunch/break deductions for each and every employee is a tedious task. In a single organization, each and every department may follow different lunch/break schedules. And there are exceptions like, some employees who take a break on only one day and not on the other day. Manually calculating all these times is a nightmare. An ideal timesheet, which keeps track of all lunches/breaks and provides an option to calculate all these times in the background of the GUI without asking/taking too many resources, is a prized hallmark.

What if a timesheet gives you the option to automatically send all employee timesheets at a pre-scheduled time and send emails to all stakeholders at the same time detailing the same thing? Live!! This is what all organizations want!! An ideal timesheet should include this type of feature. Manually, the approver cannot check whether each employee has submitted their timesheet for approval or not. It also takes a lot of time on the part of the approver to check the same. Not only that, sending emails for all approved and rejected timesheets again is a nightmare.

Employees, in an organization, work for different departments depending on their skill. Organizations pay different amounts as hourly wages to each and every employee for the work they perform. But tracking which employee worked for a particular department and until what time is a Herculean task. An ideal timesheet eases all of this complexity and simply provides the correct output in a report format based on the input provided.

Due to the complexity involved in calculating shift times, break and lunch times, etc., the ideal timesheet provides all the business logic to calculate overtime, shift differential, etc., for the employee. at the click of a button. All of these calculations happen behind the screens without the knowledge of the employees. But the employee can send a calculated output to his approvers without even thinking about the logic adopted to calculate his record data.

Nowadays, data has acquired an important role either for calculation or analysis purposes. For a web-based timesheet application, the data must be encrypted while the data is being transferred from the desktop to the data servers using the most sophisticated and complex encryption strategies. The ideal timesheet should provide the “https:” protocol for authentication and encryption purposes.

In general, time sheets are a must for all small and large organizations to keep track of their employee registration data. But whether time recording software available in the form of off-the-shelf (OTS)/etc/software packages contain all the features a typical organization needs is a critical question. For the ever-changing needs of an organization, a flexible product that changes according to the needs and requirements of the organization is an ideal time sheet product. This kind of flexibility can only be possible with a SaaS-based delivery model.
